We understand that travel plans may change. This policy describes the general reservation, cancellation, and refund practices of Montana Spirit Guest Lodge.

Because certain special events, packages, group reservations, and promotional rates may have unique requirements, guests should always review the specific terms included with their booking.

1. Reservation Confirmation

A reservation is not considered confirmed until required guest information has been provided, availability has been confirmed by Montana Spirit Guest Lodge, any required deposit or advance payment has been successfully received, and a reservation confirmation has been provided.

2. Deposits

A deposit may be required to secure accommodations or participation in a special event. The applicable deposit amount will be displayed during booking or communicated before confirmation. Deposits will be applied toward the total reservation balance.

3. Remaining Balance

Any remaining balance must be paid according to the deadline stated in the applicable reservation or event confirmation. Failure to pay the balance by the applicable due date may result in cancellation and release of the reserved accommodations or event space.

4. Standard Lodging Cancellations

The cancellation and refund terms applicable to a standard lodging reservation will be provided during booking or in the reservation confirmation. Guests should review those terms carefully before completing their reservation. Where a reservation confirmation specifies a cancellation deadline, guests must cancel before that deadline to qualify for any applicable refund.

5. Special Events and Retreats

Special events, fishing weeks, retreats, packages, group bookings, and promotional reservations may be subject to different cancellation and refund conditions because accommodations, meals, staffing, event capacity, or other resources may be reserved specifically for participants. The cancellation terms displayed on the applicable event page, checkout screen, invoice, or reservation confirmation will control.

6. Non-Refundable Reservations

Reservations identified as non-refundable are not eligible for a refund except where required by applicable law.

7. Guest-Initiated Cancellations

Cancellation requests should be made as soon as possible by contacting montspirit@aol.com. Please include the reservation name, reservation dates, and confirmation information if available. A cancellation is not complete until acknowledged by Montana Spirit Guest Lodge.

8. Early Departure and No-Shows

Guests who fail to arrive for a confirmed reservation or who leave before their scheduled departure date may remain responsible for some or all charges associated with the reservation, subject to the specific terms of their booking and applicable law.

9. Changes to Reservations

Requests to change arrival dates, departure dates, occupancy, accommodation, event participation, or package selections are subject to availability. Changes may result in different rates or additional charges.

10. Weather and Travel Conditions

Normal seasonal weather, road conditions, flight delays, changes in fishing conditions, or personal travel disruptions generally do not automatically entitle a guest to a refund unless otherwise provided by the applicable reservation terms. Guests are encouraged to consider appropriate travel insurance for unexpected interruptions.

11. Cancellations by Montana Spirit Guest Lodge

In unusual circumstances, Montana Spirit Guest Lodge may need to modify or cancel a reservation because of circumstances affecting safety, habitability, accessibility, legal compliance, or operation of the property.

If Montana Spirit Guest Lodge cancels a paid reservation and cannot provide a reasonably acceptable alternative, amounts paid directly for the canceled service will generally be refunded. This does not require reimbursement of independent expenses such as airfare, rental vehicles, third-party lodging, or other travel costs unless required by law.

12. Refund Processing

Approved refunds will generally be returned through the original payment method when reasonably possible. Financial institutions and payment processors may require additional time before a refund appears in the customer’s account.

13. Third-Party Reservations

Reservations made through third-party booking services may be governed by the cancellation and refund policy of that third-party service. Guests should contact the applicable booking provider when a reservation was not made directly with Montana Spirit Guest Lodge.

14. Questions

For questions regarding your reservation or applicable cancellation terms, contact montspirit@aol.com.
